Create & Manage Job Profiles To create and manage job profiles, your role must have unrestricted access to the Job Profiles feature.Create a Job ProfileYou can create a new job profile or clone an existing one: Go to Manage Center > Talent > Competency Manager > Job Profiles. Take one of the following actions: Create a brand new job profile: In the Catalogs list on the right, select the catalog to which you are adding the new job profile. Click + Job Profile. Clone an existing job profile: Browse the Catalogs list on the right to locate the appropriate job profile. Click the job profile's action menu and select Clone. The new profile is added, located at the end of the list of job profiles for the catalog. Click the new profile's action menu and select Edit job profile. Enter the details for the new job profile. Use the table below for guidance: Section Field Descriptions Job Profile Details Here, you will configure the main details for the job profile. Reference Code - enter a unique reference code for the job profile, up to a maximum of 85 characters. This field is mandatory. Name - enter a name for the job profile up to a maximum of 85 characters. This field is mandatory. Job Profile Catalog - defaults to the catalog in which the job profile was created but can be updated here. For additional information about catalogs, please see Manage Job Profile Catalogs. Owner - to select a user who is responsible for the profile. The job profile owner can receive email notifications when the job profile is assigned or de-assigned. Description - enter a description for the job profile up to 1,000 characters. Language - defaults to multi-language. If your LMS license includes additional languages, you can select a language bundle. Active - click the checkbox to activate the job profile. Allows self-assignment - click the checkbox to enable learners to assign themselves the job profile. Allows reviewer assignment - click the checkbox to enable reviewers to award the job profile to a learner. Start Date/End Date - these fields allow you to set a date window in which the job profile can be assigned to users. Required Competencies Here, you will choose the competencies associated with the job profile. In the Search field, click the search icon to open a list of competencies. Only competencies visible to you are available. Select each competency you would like to assign. Set the required proficiency level in the Required Level field for each competency. Set the quota in the Quota field for each competency. Set the requirements for completing competencies in order to complete the job profile. By default, all assigned competencies are mandatory. Choose n of Listed Competencies (including mandatory) and you can identify the number or competencies that must be completed. When you select this option, you can then de-select any competencies identified as mandatory by clearning their Mandatory checkbox. Notification Settings Here, you will manage the notification settings for the job profile. You can choose to use the system default email template or a custom email template. You can also choose to send no email at all. Be careful about selecting the system default email option. If there is no system default notification created, an email will not be sent. Job Profile Assignment Notification for Assignee E-mail - sends notifications to the assignee when a job profile is assigned to them. Job Profile Assignment Notification for Direct Appraisers E-mail - sends notifications to the assignee's direct appraiser when a job profile is assigned. Job Profile Assignment Notification for Job Profile Owner E-mail - sends notifications to the job profile owner when a job profile is assigned to a learner. Job Profile De-Assignment Notification for Assignee E-mail - sends notifications to the learner when a job profile is de-assigned from them. Job Profile De-Assignment Notification for Direct Appraisers E-mail - sends notifications to the learner's direct appraiser when a job profile is de-assigned from the learner. Job Profile De-Assignment Notification for Job Profile Owner E-mail - sends notifications to the job profile owner when a job profile is de-assigned from a learner. Click Save.Manage Job Profile CatalogsAdd a Job Profile CatalogJob profile catalogs are containers for organizing your job profiles. For example, you might have a catalog for human resources-related job profiles, containing the profiles for different roles within that department. On the Job Profiles page, select the parent catalog under which you want to create the new catalog. Click the add catalog icon located above the catalog list. Enter a name for the new catalog and click Enter.Delete a CatalogTo delete a catalog, select the catalog in the list and click the delete icon located above the catalog list.Deleting a job profile catalog also deletes its sub-catalogs and all job profiles. Deleted job profiles are unassigned from the users. Competencies that have been mapped to deleted job profiles are not deleted.Add a Language Bundle to a Job Profile On the Job Profiles page, locate and the appropriate job profile. Click the action menu and select Manage Language Bundles. Click + Add Language Bundle. In the Select a Language field, choose the language. In the Title field, enter the title in the selected language. Click Add. You can edit the name and description to reflect the language. Click the action menu and select Edit Bundle Content. Make updates as required. Click Save. Job Profile AssignmentJob profiles can be assigned to users in the following ways: Group Assign - allows you to assign a job profile to manually selected individual users. Auto Assign - allows you to automatically assign a job profile to users based on specified criteria. This can include user group, role, competencies, completed courses and more. The LMS scans the user profiles and assigns the job profile when there is matching criteria. Please see Configure Auto Assign Scan Intervals below for information about managing the frequency of these scans. Manually Assign Job Profiles using Group Assign On the Job Profiles page, locate and access the appropriate job profile. Click the Group Assign option on the left. In the Group Assign to users: field, begin typing a user name or click the browse button to choose users with the user selector. In the Assignment Type field, select an option. For additional information about assignment types, please see Job Profile Assignment Types. Click Save. Auto Assign Job Profiles On the Job Profiles page, locate and access the appropriate job profile. Click the Auto-Assign option on the left. In the Assignment Type field, select an option. For additional information about assignment types, please see Job Profile Assignment Types. In the Auto-assign section, select the criteria used to select users for automatic assignment. Expand a header to configure the property. You can select users based on any combination of the following: User group, role, logical domain or organization Completed courses Employment information Job profiles and competencies User attributes Organization attributes When you have completed your selections, click Set Auto-Assign Targets. Your system may be configured to automatically unassign job profiles when a user no longer meets the criteria. If it is not, they will need to be manually unassigned.Configure Auto Assign Scan Intervals On the Job Profiles page, click Auto-Assign Console. The Profile Auto-Assign Console tab opens by default. In the Criteria Scan Interval field, select an interval setting. If you selected Initiate New Check at Every Login in step 2, enter a value in the Interval (sec) for Processing Assignments at Log-In: to indlcate the wait time, in seconds, to assign job profiles to users after they log in. If you want to enable auto-assignment processing for logged out users, select a scan interval in the Offline Bulk Auto-Assign field. Click Execute. You can view auto-assigned users on the Auto-Assign User List tab.View/De-Assign Assigned Users On the Job Profiles page, locate the appropriate job profile. Click the action menu and select View Assignments. Enter filter criteria as necessary and select Search. Assigned users are listed. To manually de-assign a user, click the action menu and select De-assign Job Profile. Delete a Job ProfileTo delete a job profile, locate the appropriate option of the Job Profiles page.
