Create & Manage Competencies To create and manage competencies, your role must have unrestricted access to the Competency Manager and Competency Model features.Create a CompetencyYou can create a new competency or clone an existing one: Go to Manage Center > Talent > Competency Manager > Competency Models. Select the competency model in which to create a new competency. Take one of the following actions: To create a brand new competency, click + Create Competency. To clone an existing competency, locate it in the list. Click the action menu and select Clone. The properties from the original will be retained in the new competency. Enter the details for the new competency. Use the table below for guidance: Section Field Descriptions Competency Details Here, you will configure the main details. Reference Code - Enter a unique reference code for the competency, up to a maximum of 85 characters. This field is mandatory. Title - Enter a title for the competency up to a maximum of 85 characters. This field is mandatory. Model - Defaults to the competency model selected when the competency was created, but can be updated here. For additional information about competency models, please see Competency Models. Source Library - This field is for information only. It is only populated when editing a competency. If the competency was added to the model from an imported SFIA library, the name of the library is displayed. For additional information, please see SFIA Libraries in Competencies. Description - Enter a description for the competency up to 6,000 characters. Language - Defaults to multi-language. If your LMS license includes additional languages, you can select a language bundle. Active - select the checkbox to activate the competency. Proficiency Level Details Here, you will assign the proficiency levels to associate with the competency. For more information about proficiency levels, please see Competency Proficiency Levels. Level Group - select the proficiency level group and the pre-configured levels will be shown. Click the edit icon to edit the level title and description fields, if necessary. Click the delete icon to delete levels. These changes will apply to the current competency only. You are not able to change the proficiency level group if you are editing a competency that has already been assigned to a job profile. Level - if you deleted a level, you can add it back by selecting an option in the Add field. Recognition Policy Details Here, you will configure the details of how to recognize that a learner has met all of the requirements for the competency. Training - click the checkbox to specify that the competency is awarded based on completion of one or more courses (as configured in the Learning Module Details section). If you select this option, configure the following fields: This competency requires that ALL of the assigned learning modules be completed - select this field to require all configured learning modules to be completed. The target level acquired is - select the proficiency level that must be achieved. # of the listed learning modules (including mandatory) - if you are not requiring all modules to be completed, select the number that must be completed here. Deploy Assessment - select this to deploy an assessment. Ad Hoc Self-Assessment - select this checkbox to enable learners to award themselves the competency. Ad Hoc Reviewer Assessment - select this checkbox to enable reviewers to award the competency. If you choose this option, configure the following fields as required. Minimum x Day(s) of Waiting Period for Re-Ad Hoc Assessment - select the minimum number of days or years that must elapse between assessments. Ad hoc Assessment Expiry - specify if the assessment expires and if the assessor should specify an exipry date. Alternatively, you can set a fixed number of days. Learning Modules Here, you will specify the learning modules associated with the competency. Learning Module - use the search field to locate and select a learning module. For each module, select the revision (any or active), the validity in days or years and the target proficiency level. Revoke competency when mandatory training material is added to competency or when new revisions of mandatory training requiring the effective revision is published - select this option to revoke the competency when new training material is addedor a new revision is published. You can choose to have it be revoked the next time the auto-revocation process runs or provide a grace period. For mandatory modules, apply a renewal period and automatically re-enroll learners x days or years prior to module expiration - select this option to automatically re-enroll learners in mandatory courses within a specified time perios before the course expires. During the renewal period, on completion of the learning module apply the validity period from - select the validity period to be from the date of completion or from the previous module expiration date (not supported if equivalency rules have been configured). Notification Settings Details Here, you will configure the notification settings for the competency. Send reminder x days before learning modules expire - enter the number of days before learning modules expire to send a reminder to learners who completed the course to gain the competency. Send notification when this competency has entered the grace period or has been revoked - select this option to send a notification when this competency has entered the grace period or has been revoked. Email templates for these notifications are selected in the Competency Manager Category in system configuration. For additional information, please see System Configuration. Job Profile Details If a competency has been assigned to any job profiles, they are listed here. Click the job profile name to open it for editing. Click Save. Add a Language Bundle to a Competency On the Competency Models page, select the appropriate competency model and locate the competency on the right. Click the action menu and select Manage Language Bundles. Click + Add Language Bundle. In the Select a Language field, choose the language. In the Title field, enter the title in the selected language. Click Add. You can edit the description, title and proficiency levels to reflect the language. Click the action menu and select Edit Bundle Content. Make updates as required. Click Save. Map a Competency to a Job ProfileWhen you map a competency to a job profile, employees assigned that profile are automatically enrolled in the courses required to acquire the competency.To map competencies and job profiles, your role must have access to the Job Profiles features as well as the Competency Manager features.On the Competency Models page, select the appropriate competency model and take one of the following actions: To map a single competency, click the action menu for the appropriate competency and select Map to Job Profile from the action menu. To map multiple competencies, select the checkboxes for the appropriate competencies and select Map to Job Profile from the Bulk Action field. Use the search field to locate and select the appropriate job profile. Once selected, click Next. Select the required proficiency level from the drop-down list and click Map to Job Profile. Click OK. Delete a CompetencyTo delete a competency, click the action menu for the appropriate competency and select Delete.Competencies that have been awarded and have not yet expired can't be deleted.
