Create & Manage Roles To configure manage roles, your user role must have unrestricted access to the Role Permissions feature. Create a Role New roles start with very limited access to Review Features, Manage Features and Data Access Control permissions. It may save time to clone an existing system role and update the permissions as required. Go to Manage Center > Users > Roles and Permissions > System Roles. Take one of the following actions to create a role: Create a new role - click + Create System Role. Clone an existing role - locate the appropriate role. Click the action menu an select Clone. In the Role Code field enter a unique code for the role. In the Role Name field enter a descriptive role name. A consistent naming convention for role codes and names can help you keep them organized. For example, if you want to create course administrator roles for different geographic regions, you could suffix the role code (CA) with the region code: CA-NORAM, CA-EMEA, CA-APAC. In the Description field enter a brief description of the role. This is optional. The description appears only in the System Roles page. Click Save. Configure Role Access ControlsRole access controls manage the features and functionality that can be used by users assigned to the role. On the System Roles page, locate the appropriate role and select Role Access Control from the action menu. Set the role access controls as necessary for the role. There are three options: No Access - the role has no access to the feature and, in most cases, it will not be visible to users. Read Only - the role can view the feature but, in most cases, will not have write or delete capability. Unrestricted - generally provides read, write and delete capability. Click the action menu and select Permissions. Use the permission selector, following the guidelines below: Read-only allows the user to view the role. Unrestricted additionally allows the user to update, delete and set permissions for the role. Bulk Role Update for AppraisersYou can change roles in bulk for users who have direct appraisees (managers, for example). Go to Manage Center > Users > Roles and Permissions > Bulk Role Update. If you would like to view the list of users whose role will be updated before executing, click the List only, don't update check box. In the Current Role field select the role that should be changed. In the Role to be Assigned field select the new role. Click Submit. If you chose to execute the update immediately, the list of changed users shows Update action successful for each successfully updated record. If you chose the show the list only, the potentially affected users are shown with Read Only in the Comments field. Clear the List only, don't update check box and click Submit again to execute the change. Delete a RoleTo delete a role, locate the appropriate role and the System Roles page.
