Create New Users

To create and manage users, your role must have unrestricted access to the Users feature and you must have the Allow User Creation permission.

Create a New User

You can save time with "templates" that can be utilized when creating users with common properties. For example, you may want to use a template to create all users who will be "learners" in the LMS. To designate a user template, follow the steps below, to create/configure the user and select the Use the user profile as a template for creating other users checkbox on the Profile tab.
  1. Go to Manage Center > Users > User Manager > Users.
  2. Click + Create User.
  3. Enter the user information (user ID, first name and last name) in the fields provided.  Note that the User ID can't contain spaces.
  4. In the Profile field you can select a user template or keep the default option.
  5. Click Create user account.  

As you move through the user configuration tabs, be sure to save the fields on the current tab before clicking on another. The save icon is located in the top-right corner of the screen.

User Profile Fields

To complete creation of a user, you must configure and save the mandatory fields on the Profile tab. If your organization is configured to send a welcome email with login instructions, the new user will be sent the email upon saving. Use the table below for guidance:

Profile Section Description
Personal Information This section contains basic information about the user.  First Name, Last Name and Password fields are mandatory.
Employee Status

This section contains fields related to the user's status within the LMS.

  • Current Status - select the current status for the user.  Note that only Active employees can log in to the system.
  • Use External Authentication - if the user is authenticated on an external system (for example, LDAP), select Yes.
  • Employee Number - enter the employee number.
  • Expiration Date - if the user's employment has expired, or will expire on a known date, choose the expiration date here.
  • Language - choose the user's default language.
Connect

This section contains email fields for the user.

  • Email - the user's primary email address.
  • Email Forwarding - here, you can specify an secondary recipient of emails sent to the user.  This can be useful, for example, if user's manager needs to be copied on LMS communications.
  • Alternative Email - this field becomes active if Email Address as Entered Below in the Email Forwarding field. Enter the email address.
Assignment Details These details are primarily concerned with the user's job and their LMS environment.
Contact Information This section contains contact information for the user.  All fields are optional.
User Attributes User attributes are used to classify users with certain characteristics.  They are configured by, and specific to, each organization.  If your organization has set up user attribute fields, they are available for you to fill out in this section.
Template Setting Click the Use the user profile as a template for creating other users checkbox to save the user as a template.

User Group Assignment

Users are assigned to groups in User Group management, and not in the user profile.  The User Groups tab simply displays the assignments.  For additional information about how users are selected for user groups, please see User Group Management.

Supervision Access

On the Supervises tab, you can designate the user as a supervisor over specific organizations and user groups.  

Here you will also see a list of users that the current user directly supervises (i.e. not through an organization or user group). Direct appraisal is set at the user level. It can't be edited in this tab but you can link to the user profiles from here.

  1. On the Supervises tab, take one of the following actions:
  • To assign supervision over an organization, click inside the Organization box and select one or more organizations.
  • To assign supervision over a user group, click inside the User Groups box and select one or more groups.
  1. Click the save icon.
