User Management Tasks

To manage users, your role must have unrestricted access to the User Manager and Users features.

Access a User's Profile

  1. Go to Manage Center > Users > User Manager > Users.
  2. Use the filter fields to refine the user list.
  3. Locate the appropriate user and select View/Edit Profile from the action menu.

Switch User

The Switch User feature allows you to move between user accounts without having to log in and out of the system.  This can be useful for testing access permissions configured for a particular user.  

A separate permission is required for this function. You must have access to the system administration permission Switch User. PeopleFluent recommends that access to this permission should be limited. It enables the logged in user to access any LMS account and all activity is tracked to that user. Please contact your system administrator to understand if you have permission to switch users.
  1. Go to Manage Center > Users > User Manager > Switch User.
  2. Start typing a user's name or click the browse icon to open the User Selector to search for users.
  3. Click Switch User. The target user's configured landing page opens. You are now logged in as the target user.

View or Change a User's Status

You can change a user's status on the Users page, or in the in the Profile tab of the user editor, depending on your permissions. In this example, we will focus on making the change on the Users page. 

  1. On the Users page, locate the appropriate user and select Change Status from the action menu.
  2. Select the new status.
  3. Click the save icon

Some statuses are set automatically and can't be changed.

The table below contains details about the various account statuses.

Can Receive Notifications? - Yes

Account ClosedThis is a terminal status that deactivates the account, while retaining the user id and user transcript. This status may be assigned automatically if there is an expiration date in the user profile.

Can login? - No

Counts towards license limit? - No

Visible in user selection? - No

Included in Reports? - Yes

Can Receive Notifications? - No

 

Logically Deleted

This is a terminal status that deactivates the account.  In compliance with the General Data Protection Regulation, you may set user accounts to this status when:

  • Data processing needs to be temporarily suspended for a given account.
  • A user requests to withdraw terms of use acceptance.
  • A user fails to accept terms of use within an acceptable timeframe.

To view and manage logically deleted users go to Manage Center > Users > User Manager > Logically Deleted Users.

Self-Registration User Pend for ApprovalAutomatically assigned when the user has self-registered and is waiting for approval.

Can login? - No

LockedThis is a terminal status that deactivates the account. However, the user account remains accessible for reporting.

Can login? - No

Counts towards license limit? - No

Visible in user selection? - No

Can Receive Notifications? - No

 

User Account/Records MigratedAfter two user accounts have been merged, the LMS assigns this status to the obsolete account.

Can login? - No

Counts towards license limit? - No

Visible in user selection? - Yes

Included in Reports? - No

Can Receive Notifications? - No

 

License ViolationUser accounts created using the user data loader that exceed the user license limit are automatically assigned this status.

Can login? - No

Counts towards license limit? - No

Visible in user selection? - Yes

Included in Reports? - Yes

Can Receive Notifications? - Yes

 

Reset a User's Password

There are two ways that a password can be reset; it can be manually changed in the user editor or you can send a reset password link to the user.

Manually Change a User's Password in the User Editor

This is a good option when you want to dictate the new password.

You will need to alert the user to the password change, as this method does not send a notification.

  1. Open the appropriate user's profile and select the Profile tab.
  2. In the Personal Information section, click the Change password link located below the Password field.
  3. Enter the new password in the Password field and the Verify Password field.
  4. Click OK.
  5. Click the save icon.

Send a Reset Password Email to the User

This option will generate a random password and send it to the user in a notification email.

This option is not available if the user profile does not contain an email address.

  1. Open the appropriate user's profile and select the Profile tab.
  2. In the Personal Information section, click the Send Reset Password Mail link located below the Password field.
  3. Click OK.
  4. Click the save icon.

Set Up Slack Notifications for a User

To perform this task, you must have unrestricted access to the Notifications feature.
  1. Open the appropriate user's profile and select the Notificationstab.
  2. In the Enable Slack Notifications field, select Yes.
  3. In the Select notifications to send to Slack field, choose one of the following options:
  • Only notifications sent TO me - choose this option to get notifications only when you are the direct recipient of the notification.
  • Both notifications sent TO me and where I am copied - choose this option to also receive notifications when you are CC'ed.
  1. In the Slack Workspace field, select the appropriate workspace.
  2. Click Submit.
  3. Click the save icon.

Set MS Teams Notifications for a User

To perform this task, you must have unrestricted access to the Notifications feature.
  1. Open the appropriate user's profile and select the Notfications tab.
  2. In the Enable Microsoft Teams Notifications field, select Yes.
  3. In the Select notifications to send to Microsoft Teams field, choose one of the following options:
  • Only notifications sent TO me - choose this option to get notifications only when you are the direct recipient of the notification.
  • Both notifications sent TO me and where I am copied - choose this option to also receive notifications when you are CC'ed.
  1. In the Microsoft Teams Application field, select the appropriate workspace.
  2. Click Submit.
  3. Click the save icon.

Export a User's Personal Data

User's personal data can be exported to a compressed (ZIP) file containing multiple CSV files.

  1. On the Users page, locate the appropriate user and select Export Personal Data from the action menu.
  2. Select the checkboxes for the categories of data you want to export.
  3. Click OK. The data is exported to a ZIP file.

Review a User's Transcript

You can access the user's Career Development Center (CDC) to view transcripts directly from the user profile.  Depending on your role access permissions, you may also be able to drill down to the transcript details, assign learning modules and print transcripts.  Please contact your system administrator if you have questions about your access.

  1. In the user profile, select the Records/Transcript tab. The CDC opens at the Learning page, which lists the user's transcripts.
  2. Click the learning module name, or select View Transcript Details from the action menu.

Delete a User's Data

If you delete a user, all of that user's data will also be removed.  But you have the option to delete specific categories of data while keeping the account active.

  1. On the Users page, locate the appropriate user and select Delete User Data from the action menu.
  2. Select the checkboxes for the categories of data you want to delete.
  3. Click OK

Print or Export a List of Users

  1. On the Users page, filter the list of users as necessary.
  2. Click the Tools button and select the correct option.
