Assessment Workflow Templates

Assessment workflow templates consist of one or more pre- or post-course assessments that can be assigned to participants, instructors or direct appraisers. 

Default workflows can be assigned by organization or logical domain, and then be disabled or overridden on the session level during setup.  Assessment workflows have permissions that determine which users can assign them or edit them in the Assessment Workflow Manager.

To manage assessment workflow templates, your user role must have unrestricted access to the Catalog Manager.

Create an Assessment Workflow Template

  1. Go to Manage Center > Learning > Catalog General Settings > Assessment Workflow Manager.
  2. Click + Create Assessment Workflow.
  3. In the Template Name field, enter the name. This is the name shown when selecting a workflow tempate for a session, organization or logical domain.
  4. Click the Add exam/evaluation link.
  5. In the Exam/Evaluation field, click the browse icon and select an assessment.
  6. Select Pre Course to notify a user to complete the assessment before the course. Click Post Course to notify a user to complete the assessment after the course.
  7. In the Available Date field, select the date from which the assessment is available to users. This is defined by the number of days before or after the course start or end date.
  8. In the Assessor field, select the recipient of the reminder email to complete the assessment. This can be course participants, instructors or the participants' direct appraisers.
  9. In the Reminder Email field, click the browse icon to select the appropriate email template.

Reminder emails are only sent to users who have not completed the assigned exam or evaluation. These reminders will continue until the exam is completed or the end date (specified in step 10) is reached, whichever comes first.

  1. In the Send Reminder Email for field, specify how often reminder emails should be sent after the assessment becomes available.
  2. To add another assessment, click the + Add exam/evaluation link and select the appropriate option.
  3. Click Save.

Set the Workflow Permissions

Once a template is saved, you can set the permissions.  Locate the appropriate template on the Assessment Workflow Manager page and open it for editing. Click the Permissions button.

  • Read-only allows the user to view the workflow.
  • Unrestricted additionally allows the user to update, delete and set permissions for the workflow.

Delete an Assessment Workflow Template

To delete a template, locate the appropriate option on the Assessment Workflow Manager page and open it for editing. Click the Delete button.
