Create & Manage Catalogs The catalog hierarchy is structured using folders and sub-folders, representing catalogs and sub-catalogs respectively. The hierarchy begins with the Top folder. Catalogs placed directly under the Top folder are designated as first-level catalogs, while those placed beneath first-level catalogs are considered sub-level catalogs.In the example below, Bookkeeping and Payroll indicates the first-level catalog while Bookkeeping Courses and Payroll Courses represent the sub-catalogs. To add and configure course catalogs, your role must have unrestricted access to the Catalog Structure feature.Add a CatalogYou can create a brand new catalog or clone an existing catalog. Cloning allows you to create an exact copy of an existing catalog. This can be useful, for instance, if you need to update a catalog's courses for a new year. You can clone the current catalog and then modify its course sessions and schedules.Go to Manage Center > Learning > Catalog General Settings > Catalog List Maintenance.Take one of the following actions:Create a brand new catalog:Browse to the appropriate catalog folder and right-click (right-click the Top option to add a first-level catalog).Select Add Catalog as a Child.Clone an existing catalog:Browse to the catalog you would like to copy and right-click.Select Clone.Set the clone options as required and click Save.If you are making configuration changes to a cloned catalog, be sure to manage permissions so it isn't visible to users before you're ready. Configure or edit the properties. Use the table below for guidance:FieldDescriptionTitle (required)This is the catalog name that users see. Reference CodeEnter a reference code. Reference codes are not visible to users, but can be used to identify catalogs that are available in multiple languages. Administrators can assign courses to all catalogs that have the same reference code vs. having to understand the title in different lanuages.CommentsEnter any relevant comments (for example, describe the types of included courses).LanguageChoose the language option:To allow the catalog to be displayed in a user's preferred language, select Multi-Language.To display the catalog only in a specific language, select the appropriate language.Responsible PartyHere, you will name the person who controls or organizes the materials assigned to the catalog.Catalog Display FormatThis field determines how the catalog will be displayed in the catalog browser. Options vary depending on the UI that is in use (new or legacy). For visually engaging navigation in the legacy UI, we recommend using Format 3 for the top-level catalog and Format 1 or 2 for individual catalogs.PictureAssociate a specific image with the catalog. Click the browse icon to select an image or enter a URL path to the image. In the legacy UI, the image must be no bigger than 150 x 150 px. In the new UI images are displayed in a 16.9 width-to-height aspect ratio. Any image size greater than 500 px can be used and scaled without distortion.Allow uers to access the catalog without logging in.Select this option to allow users to view the catalog without logging in to the LMS.Additionally grant permissions as defined in parent.Select this option to inherit the access permissions configured for the parent catalog. Any changes made to the parent catalog's permissions are automatically applied to this catalog. Click Save.Set the Catalog PermissionsOn the Catalog List Maintenance page, locate the appropriate catalog. Right-click and select Edit Catalog Properties. Click the Permissions button.Read-only allows the user to view the catalog.Unrestricted additionally allows the user to update, delete and set permissions for the catalog.Move a CatalogYou can move a catalog from its parent catalog to another in the catalog structure. This moves where it is shown in the Catalog Browser. On the Catalog List Maintenance page, locate the catalog you would like to move. Right-click and select Move.To Target Catalog: - click the browse button and select the new parent catalog. Be sure to place it in the Top catalog if you are moving it to be a first-level catalog.Include course content? - clear the checkbox if you don't want the content to be moved along with the catalog.Keep existing permissions? - clear the checkbox if you don't want the permissions moved along with the content.Additionally grant permissions... - this catalog field determines if a sub-catalog will inherit the parent permissions. Select As defined in the original to automatically set the field to the value in the original location. Disabled disables the field. Enabled enables the field.Click Save. Delete a CatalogOn the Catalog List Maintenance page, locate the appropriate catalog. Right-click and select Delete.
