Terms of Use

Many organizations require users to consent to a terms of use agreement before using the LMS.  You can configure a single terms of use agreement, or multiple agreements and define a target audience for each (including to specific users).

When you publish a terms of use agreement, the users in its target audience are presented with it the next time they log in. They must agree to the terms of use before they can log in.

To manage terms of use agreements your role must have unrestricted access to the Terms of Use feature.

Create a Terms of Use Agreement

You can create a terms of use agreement by adding a new one or cloning an existing one.

  1. Go to Manage Center > System > System Support Functions > Terms of Use Manager.
  2. Take one of the following actions:
  • Click + Create Terms of Use.
  • To clone an existing terms of use, locate the appropriate option. Click on the action menu and select Clone. This is especially useful when you want to make updates to the terms and target the same audience, as published terms agreements can't be edited.

For multi-language systems, you can enter the text label keys for the following three fields. The LMS will automatically display the translated content to the user.

  1. In the Title field, enter the terms of use name (or text label key).
  2. In the Text field, enter the terms of use text (or text label key).
  3. In the Agree Checkbox Label field, enter the label text (or text label key).
  4. Click Save to save without publishing. Or click Save and Publish to do both.

To publish a terms agreement after saving it, locate the appropriate agreement on the Terms of Use Manager page. Click the action menu and select Publish.

You can update the target audience for a terms of use agreement after publishing it, but you cannot edit or delete it.

Define the Target Audience

You can target terms of use agreements at users who match specific criteria (for example, all users in a specific geographic location). More than one terms of use can be targeted at the same audience of users.

  1. On the Terms of Use Manager page, locate the appropriate terms.  Click the action menu and select Target Audience.
  2. Select the users to target.
  • Apply user targeting template - select an option here to use a targeting template to target users.
  • Users - click the browse icon to select specific users to target.
  • Additional criteria - select an option in the Add criteria by field and click Add.  Additional fields display that allow you to configure parameters for the criteria.  
  1. Click Save.

Delete a Terms of Use Agreement

You can delete only terms of use agreements that have a Pending status. 

To delete a terms of use agreement

  1. On the Terms of Use Manager page, locate the appropriate terms of use. Click the action menu and select Delete.
  2. Click OK.

Published terms of use agreements can't be deleted.
